A booking is only valid once payments have been received in MLA Move Language Ahead’s account as per the payment terms below. By submitting a Booking Request, the Agent agrees to abide by these Terms & Conditions.

The remaining balance must be received no later than 6 weeks before the departure date. Failure to make full payment by this date may result in cancellation of the booking or refusal of entry to the programme.
MLA may arrange additional excursions, tickets or attractions only where these have been confirmed through Agent Zone, the sole official booking portal. All such services are subject to availability and programme requirements and must be paid in full prior to confirmation.
MLA shall not be liable for, nor guarantee, the availability of specific dates, times, seating, allocations, or any other special requests, which shall remain subject to supplier availability and operational requirements.
Complimentary Group Leader tickets will be issued according to the 1:12 ratio; any additional group leaders will be charged the adult full ticket price.

No group will be accepted until full payment is received. Overdue invoices relating to an agent or their students may result in suspension of services.
All Agents are required to enrol their students through the MLA Agent Zone.
Electronic Visa invitation letters are provided for all students and group leaders provided they have paid the 20% booking deposit and the booking has been confirmed by MLA.
Agents must collect and upload all required enrolment documents at least 6 weeks before departure date. Failure to comply may delay confirmations, transfers, or programme delivery.
The following cancellation charges apply on an agent account basis, rather than on an individual booking basis:
From the time of booking, the deposit (20% of the total cost) is non-refundable.
Where an agent has multiple confirmed groups or bookings with MLA, any amounts already paid by the agent may be allocated against cancellation charges arising from one or more cancelled groups.
Tickets or extra services purchased outside the standard programme are non-refundable at any stage.
MLA provides Visa Support Letters and any other visa-related support documentation exclusively through the MLA Agent Zone, MLA’s dedicated online platform for agents. Visa documentation will only be issued once the 20% deposit for the relevant booking has been received. No visa documentation will be issued before payment of the deposit.
The Agent is solely responsible for ensuring that each visa application is complete, accurate and submitted in sufficient time. All relevant visa documentation, including application receipts, reference numbers (GWF or equivalent), appointment confirmations and official refusal letters, must be promptly uploaded to the MLA Agent Zone.
If a participant is unable to travel due to visa refusal, the following cancellation charges will apply:
Any additional or extra services specifically requested and booked for the participant or group, including tickets, transfers, accommodation upgrades or other supplementary services, will be charged in full where already booked or committed by MLA and will be additional to the above cancellation charges.
In the event of a visa refusal, the official refusal letter must be uploaded to the MLA Agent Zone immediately upon receipt. No refund shall be payable where the application is incomplete or inaccurate, contains false or misleading information, the participant fails to attend a required appointment, or the refusal results from any act, omission or delay attributable to the Agent or participant.
MLA accepts no responsibility for visa decisions, processing times or any action or decision taken by immigration, embassy or consular authorities.
MLA may change courses, locations, accommodation, or programme details if necessary, due to circumstances beyond its control or insufficient enrolments.
MLA reserves the right to implement price adjustments to packages and related services in the event of relevant variations, including, by way of example, important currency fluctuations, important increases in fuel costs, geopolitical events and/or rises within the supplier chain.
Such adjustments may be applied at any time, including after quotation issuance, acceptance and/or payment by the operator. This clause shall apply not only to the base package but also to all ancillary and additional services, including, without limitation, airport transfers, excursions and any other supplementary services.
MLA reserves the right to cancel bookings without notice if payment conditions are not met.
All prices are based on a minimum of 12 paying students. For groups smaller than 12 students, MLA will provide a revised quotation reflecting the adjusted rates up to 5% increase.
Reductions in group size after confirmation may result in price adjustments and cancellation fees. Group increases require MLA’s prior written approval, with immediate payment for added participants.
One Group Leader is free of charge for groups of 12 or more paying students. For groups of fewer than 12 paying students, the Group Leader is charged 70% of the actual programme fee paid by the students in that group.
The same applies to any additional Group Leader wishing to join the group.
Group leaders must be at least 25 years old with good English communication skills. They are provided accommodation, meals, and transfers but cannot participate in lessons. Background checks may be required depending on local regulations.
All participants receive access to MLA’s complimentary “Get Ready” Live Online Course (weekly 60-minute lessons).
Courses begin the week of 23 November 2026 with rolling admission and run until 9 June 2027.
Time slots are subject to MLA’s discretion. Missed lessons are non-refundable. Please note that the Pre-Departure online lessons run from Monday to Friday only. Students can join the pre-departure online course only after the deposit for the booking has been paid.
MLA offers students the opportunity to take a Cambridge English exam during their study programme, subject to an additional examination fee. Exam sessions are subject to a minimum number of candidates. Available exam dates and applicable fees will be confirmed and communicated by MLA. If the minimum number of candidates required to run an exam session is not reached, MLA reserves the right to cancel the scheduled exam session or arrange for the student to take the examination at an alternative MLA Centre within reasonable travelling distance, subject to availability. MLA will communicate any alternative arrangements to the student/group in advance. The on-site language course is a General English course and does not include specific preparation for the Cambridge English exam. Students wishing to take the exam are responsible for ensuring that they are adequately prepared for the selected examination level. MLA facilitates the organisation of the examination but does not guarantee a pass, a specific grade, score or qualification. MLA accepts no liability for a student’s examination result or failure to pass the exam.
Agents are responsible for ensuring students have comprehensive travel and medical insurance. Proof of liability insurance may be requested.
Student passports are collected and securely stored at the Centre Office upon arrival. Students should keep a digital copy. Group leaders are exempt.
A security deposit is required upon arrival: £50 (UK), €50 (Ireland/Italy), $50 USD (USA), $50 CAD (Canada). Any damages exceeding this amount will be invoiced directly to the Agent, who is fully responsible for payment in full to MLA and for recovering reimbursement from the student’s parent/guardian.
Students must comply with MLA Code of Conduct and local laws. Misconduct may result in repatriation without refund and at the Agent’s sole expense.
When booking MLA’s Airport Transfer service, all flight details must be entered into the Agent Zone no later than 6 weeks before departure.
Services requested after this deadline will be subject to availability and may incur additional fees.
Transfer times are arranged solely at MLA’s discretion and are typically scheduled approximately eight hours prior to departure flights.
Full board begins with dinner on the day of arrival (pizza or boxed meals may be substituted for the first dinner) and ends with breakfast on the last day.
MLA reserves the right to use photographs and videos taken during the programme for marketing and promotional purposes, including but not limited to use on websites, social media, and printed materials, unless written opt-out consent is submitted prior to travel.

Complaints must be reported in writing to the Centre Director and, if unresolved, to MLA Head Office within seven days of course completion.
Agents must obtain signed parental consent for participation and activities, provide next-of-kin details, and disclose all medical information. MLA is not liable for emergencies arising from non-disclosure.
MLA accepts no liability for losses arising from events beyond its control, such as natural disasters, strikes, war, or airline cancellations.
MLA is insured against loss, injury, or damage caused by staff negligence. MLA is not responsible for lost or stolen property.
