A booking is only valid once payments have been received in MLA Move Language Ahead’s account as per the payment terms below. By submitting a Booking Application, the Agent agrees to abide by these Terms & Conditions.
2. DEPOSIT REQUIREMENTSA 20% deposit of the total invoice is required by 28 February 2026 in order to confirm the booking.
3. FINAL PAYMENTThe remaining balance must be received no later than 01 May 2026. Failure to make full payment by this date may result in cancellation of the booking, refusal of entry to the programme, or termination of accommodation and services.
NB. For Spring Centres payments must be settled by the 28 February 2026.
MLA may arrange additional excursions, tickets, or attractions upon prior written agreement. All such services must be paid in full before confirmation. Complimentary group leader tickets will be issued according to the 1:12 ratio; any additional group leaders will be charged adult ticket prices.
5. BANK DETAILS & PAYMENTS PLATFORMAll payments must be made by bank transfer or through MLA’s approved global payments partner. TransferMate is the preferred global payments platform of MLA.
- If students are paying MLA directly: they are required to use the TransferMate platform. TransferMate provides options for bank transfer, credit card, Apple Pay, and other local payment methods depending on the country of origin.
- If the agency is paying invoices on behalf of students: payment may be made by direct bank-to-bank wire transfer using the details below.
Important: Agents must ensure that all bank charges and wire transfer fees are paid in full at the time of transfer so that MLA receives the complete invoiced amount without deductions.

All payments must be made by bank transfer or TransferMate, depending on the payer. Prices are for groups (minimum five students). Supplements may apply to participants aged 18+. Final confirmation documents are only issued once full payment and travel details are received no later than 14 days before the course start date. No group will be accepted until full payment is received. Overdue invoices relating to an agent or their students may result in suspension of services.
7. ENROLMENT VIA AGENT ZONEAll Agents are required to enrol their students through the MLA Agent Zone. Electronic Visa invitation letters are provided complimentary for all students and group leaders. Agents who do not use the Agent Zone may be subject to additional administrative fees. Agents must collect and upload all required enrolment documents (including student rosters, Medical Information, Parental Consent, and MLA Code of Conduct) to the Agent Zone at least 30 days prior to arrival. Failure to comply may delay confirmations, transfers, or programme delivery.
8. MINIMUM NUMBERSThe activation of the centre requires a minimum of 100 paying participants. Should this minimum not be reached within the established timeframe, the Company reserves the right, at its sole discretion, to decide whether to activate and manage the centre or not, including merging participants with other centres or departures on different starting dates. In the event that a centre is cancelled by the Company, participants may be offered placement at an alternative centre and/or departure date. Should a participant decline the alternative placement offered, all programme fees paid to the Company will be refunded in full.
9. CANCELLATION COSTSThe following cancellation charges apply where a participant cancels their booking:
- From the time of booking: the deposit (20% of the total cost) is non- refundable
- 31 to 60 days prior to departure: 50% cancellation charge
- 30 days or fewer prior to departure, including no-shows: 100% cancellation charge
Tickets or extras services purchased outside the standard programme are non-refundable at any stage and may be subject to the cancellation policies of the relevant supplier.
10. VISA SUPPORTVisa invitation letters are provided upon receipt of the 20% deposit and completed student roster. MLA supports invitation letters for Standard Visitor Visa (UK), C-Visa (Ireland), B-2 (USA), and TRV (Canada).
11. VISA REJECTIONIf a student’s visa is rejected, fees will be refunded within 60 days upon receipt of the full refusal letter, provided it is received at least two working days before the course start date. Visa appointment delays are not grounds for refund.
12. SERVICE CHANGEMLA may change courses, locations, accommodation, or programme details if necessary, due to circumstances beyond its control or insufficient enrolments.
13. VARIATION AND ADJUSTMENTMLA reserves the right to implement price adjustments to packages and related services in the event of relevant variations, including, by way of example, currency fluctuations, increases in fuel costs, geopolitical events and/or rises within the supplier chain. Such adjustments may be applied at any time, including after quotation issuance, acceptance and/or payment by the operator. This clause shall apply not only to the base package but also to all ancillary and additional services, including, without limitation, airport transfers, excursions and any other supplementary services.
14. TERMINATION OF BOOKINGMLA reserves the right to cancel bookings without notice if payment conditions are not met.
15. GROUP SIZE ADJUSTMENTSAll prices are based on a minimum of 12 paying students. For groups smaller than 12 students, MLA will provide a revised quotation reflecting the adjusted rates up until 5% increase. Reductions in group size after confirmation may result in price adjustments and cancellation fees (if within 60 days of arrival). Group increases require MLA’s prior written approval, with immediate payment for added participants.
16. GROUP LEADERSOne complimentary group leader is included for every 12 paying students (1:12 ratio).
- Additional leaders up to the ratio of 1:6: charged at 75% of the student net programme fee, pro rata.
- Extra services: group leader tickets beyond the 1:12 ratio are charged at adult rates.
Group leaders must be at least 25 years old with good English communication skills. They are provided accommodation, meals, and transfers but may not participate in lessons. Background checks may be required depending on local regulations.
17. MLA STAFF ON SITEAll teachers and staff are native speakers or of equivalent competence.
18. PRE-DEPARTURE ONLINE COURSEAll participants receive access to MLA’s complimentary “Get Ready” Online Course (weekly 60-minute lessons). Courses begin the week of 03 November 2025 with rolling admission and run until 12 June 2026. Time slots are subject to MLA’s discretion. Missed lessons are non-refundable.
19. INSURANCEAgents are responsible for ensuring students have comprehensive travel and medical insurance. Proof of liability insurance may be requested.
20. PASSPORTSStudent passports are collected and securely stored at the Centre Office upon arrival. Students should keep a digital copy. Group leaders are exempt.
21. SECURITY DEPOSIT & DAMAGESA security deposit is required upon arrival: £50 (UK), €50 (Ireland/Italy), $50 USD (USA), $50 CAD (Canada). Any damages exceeding this amount will be invoiced directly to the Agent, who is fully responsible for payment in full to MLA and for recovering reimbursement from the student’s parent/guardian.
22. BEHAVIOURStudents must comply with MLA Code of Conduct and local laws. Misconduct may result in repatriation without refund and at the Agent’s sole expense.
23. AIRPORT TRANSFERSWhen booking MLA’s Airport Transfer service, all flight details must be entered into the Agent Zone no later than 01 May 2026. Service requested after this deadline will be subject to availability and may incur additional fees. Transfer times are arranged solely at MLA’s discretion and are typically scheduled approximately eight hours prior to departure flights.
24. FULL BOARD DEFINITIONFull board begins with dinner on the day of arrival (pizza or boxed meals may be substituted for the first dinner) and ends with breakfast on the last day.
25. MARKETINGMLA reserves the right to use photographs and videos taken during the programme for marketing and promotional purposes, including but not limited to use on websites, social media, and printed materials, unless written opt-out consent is submitted prior to travel.
26. DATA PROTECTIONPersonal data will be processed according to MLA’s Privacy Policy. Please refer to our Privacy Notice for further details.
27. DISPUTESComplaints must be reported in writing to the Centre Director and, if unresolved, to MLA Head Office within seven days of course completion. If unresolved, students can contact English UK for UK courses: [email protected]
28. PARENTAL CONSENT & MEDICAL INFORMATIONAgents must obtain signed parental consent for participation and activities, provide next-of-kin details, and disclose all medical information. MLA is not liable for emergencies arising from non- disclosure.
29. EARLY ARRIVAL / LATE DEPARTUREArrivals or departures outside official programme dates incur an additional fee as follows: UK: £65 for all centres except Reading and Oxford £90; Ireland/Italy: €85; USA: $90 USD; Canada: $115 CAD – all fees per night (room & board).
30. FORCE MAJEUREMLA accepts no liability for losses arising from events beyond its control, such as natural disasters, strikes, war, or airline cancellations.
31. LIABILITYMLA is insured against loss, injury, or damage caused by staff negligence. MLA is not responsible for lost or stolen property unless entrusted to an MLA representative with a written receipt.
32. ACCEPTANCEAny booking constitutes acceptance of these Terms & Conditions.
